Key Responsibilities

  • Manuscript Styling: Format accepted manuscripts according to specific journal style guides (adjusting fonts, headings, spacing, layout, and visual flow).
  • Citation & Reference Management: Review, verify, and correct in-text citations and reference lists to ensure absolute consistency with academic referencing styles (e.g., APA 7th edition, Harvard, or MLA).
  • Visual Asset Integration: Correctly insert and arrange tables, figures, charts, and images within the article layout, ensuring high resolution, proper alignment, and accurate caption placement.
  • Quality Assurance & Proofreading: Proofread formatted articles for layout errors, broken cross-references, text truncation, missing elements, or visual inconsistencies before final publication.
  • Metadata & Pagination Management: Apply and verify page numbers, running heads, author affiliations, ORCID iDs, DOIs, and other critical publication metadata.
  • Collaborative Troubleshooting: Liaise with the Managing Editor or Line Manager to quickly resolve formatting queries, missing author details, or layout challenges.
  • Template Maintenance: Actively maintain internal formatting templates and update them as journal style guidelines evolve.

Required Skills

  • Bachelor's degree in English, Communications, Publishing, Information Science, or a related field.
  • Proven experience in copyediting, desktop publishing, or academic article formatting.
  • Advanced proficiency in Microsoft Word (styles, templates, page breaks, and section management).
  • Familiarity with publishing software (e.g., Adobe InDesign, LaTeX, or PDF editing tools) is a strong advantage.
  • Strong working knowledge of academic referencing styles, particularly APA 7.
  • Exceptional attention to detail—an eye for spotting double spaces, font mismatches, and broken margins.
  • Excellent time-management skills with the ability to meet tight publication deadlines.
  • Strong communication skills to collaborate effectively with the editorial team.
