Job Description

Our client is seeking a highly capable Executive Assistant (Operations Lens) to support senior leadership in a fast-moving, multi-product environment. The successful candidate will provide hands-on administrative and operational support while taking ownership of internal coordination, project execution, and follow-through across business initiatives.

This role is ideal for a proactive Executive Assistant who is highly organized, detail-oriented, and comfortable managing multiple workstreams simultaneously. While this role has a strong operations and administration focus, it remains a generalist Executive Assistant position, requiring flexibility, judgment, and the ability to own tasks end-to-end.

Key Responsibilities

  • Provide day-to-day executive support, including scheduling, calendar coordination, and task management
  • Own internal operational coordination across projects, ensuring tasks move forward and deadlines are met
  • Support hiring and onboarding processes, including scheduling, documentation, and coordination
  • Maintain internal trackers, checklists, and documentation for ongoing initiatives
  • Coordinate with external vendors, contractors, and accountants by preparing documents, tracking requests, and following up
  • Support Company's Product operations when assigned, including application tracking, documentation coordination, and interview scheduling
  • Prepare summaries, status updates, and action item lists for leadership review
  • Handle sensitive information with discretion and professionalism
  • Identify inefficiencies and propose improvements to administrative or operational processes

Required Skills

• Proven experience as an Executive Assistant or in a similar administrative or operations-focused role
• Strong organizational and time-management skills with the ability to manage competing priorities
• High attention to detail and strong follow-through
• Excellent written and verbal communication skills
• Ability to work independently, exercise sound judgment, and take ownership of assigned work
• Comfort working in a dynamic environment with evolving priorities
• Proficiency with modern digital tools, including Google Workspace and task tracking systems
• Practical working experience with AI tools such as ChatGPT or Gemini is required
• Familiarity with Trello or similar task boards is an asset
