Key Responsibilities

Administration Responsibilities

  • Support day-to-day office operations to ensure smooth functioning of the organization.
  • Manage office resources, supplies, and vendor relationships.
  • Coordinate logistics for meetings, events, and organizational activities.
  • Ensure compliance with all internal administrative policies and donor regulations.

Procurement Responsibilities

  • Lead procurement of goods and services, including sourcing vendors, obtaining quotes, negotiating contracts, and managing supplier relationships.
  • Ensure all procurement activities comply with organizational policies, donor requirements, and statutory regulations.
  • Maintain accurate procurement records for reporting and audit purposes.

Finance & Budget Management Responsibilities

  • Work with the Finance Officer to maintain accurate financial records, including receipts, invoices, and payments.
  • Monitor project and organizational budgets, tracking expenditures against allocations.
  • Prepare financial reports for internal management, donors, and regulatory authorities.
  • Support budget preparation for grants and organizational programs.
  • Ensure compliance with financial policies, internal controls, and statutory requirements (e.g., SCUMs, Tax).
  • Assist with audits and liaise with external auditors as needed.

Required Skills

  • Bachelor's degree in Accounting, Finance, Business Administration, Economics, or a related field.
  • 2–3 years of relevant experience in finance, administration, and procurement.
  • Mandatory: Prior experience working with an NGO or donor-funded organization.
  • Strong proficiency in Microsoft Excel and excellent organizational skills.
  • Strong knowledge of financial management principles and accounting practices.
  • Proficiency in accounting software (e.g., QuickBooks, Sage, or similar).
  • High attention to detail, accuracy, and integrity in handling finances.
