Job Description

We’re looking for a trusted, proactive partner to work closely with the COO, the ideal candidate is someone who keeps priorities on track, helps teams focus on what really matters, and ensures nothing falls through the cracks. This is more than an executive support role, it’s a chance to be at the center of decision-making, turning ideas into action and helping the organization move forward.

Key Responsibilities

  • Be a Thought Partner: Ability to brainstorm, structure ideas, and translate plans into actionable strategies. Help create systems, frameworks, and processes that turn concepts into results.
     
  • Keep Teams Aligned: Monitor projects, initiatives, and deliverables across departments. Identify when teams are focusing on the wrong priorities and redirect efforts toward what matters most.
     
  • Track and Follow Up: Hold managers accountable for their commitments, ensuring tasks and initiatives are completed on time and to standard. Take ownership of follow-ups to prevent things from slipping through the cracks.
     
  • Be the Connector: Build strong relationships across the organization. Engage with line managers and senior leaders to gather updates, ask the right questions, and provide actionable insights.
     
  • Manage Information & Communication: Filter emails, reports, and requests to prioritize what requires attention. Handle sensitive information with discretion.
     
  • Step In When Needed: Be present in meetings when required, capture key takeaways, and ensure follow-up actions are executed.
     
  • Calendar & Time Management: Organize and prioritize schedule to maximize focus on strategic priorities. Anticipate conflicts and proactively manage commitments.
     
  • Internal Consulting: Advise managers and teams on priorities, structure, and alignment with organizational goals. Provide guidance to improve performance, efficiency, and focus.
     
  • Proactive Problem Solving: Identify potential issues before they escalate and recommend solutions. Make decisions when appropriate to keep operations moving smoothly.
     
  • Drive Accountability & Execution: Take ownership of initiatives, follow up rigorously, and ensure commitments are met. Maintain operational discipline across teams.
     

Required Skills

  • 7–10+ years’ experience in senior operations, strategy, or program management roles.
     
  • Proven experience partnering directly with C-suite or executive leadership.
     
  • Strong strategic thinking with the ability to translate ideas into execution.
     
  • Exceptional communication, influence, and stakeholder-management skills.
     
  • Advanced project management and organizational abilities; disciplined follow-through.
     
  • Highly proactive, analytical, and able to anticipate and solve problems independently.
     
  • Proficiency with executive productivity and project management tools.
